North Wales Holiday Cottages Ltd is an independent holiday letting agency acting on behalf on cottage owners. This policy refers to people who book or enquire about cottages through the agency and explains how we use any personal information we collect about you. There is a separate Privacy Policy for the owners of holiday cottages.

The information we collect:

So we can provide you with the best service we need to collect information when you make a booking, enquire about a cottage or any of the services we provide. This is the information we collect:

Name and contact information of the person making the booking including address, telephone numbers and email addresses.

Additional names, email addresses and telephone numbers given to us by you for the purposes of the booking

A contact history of each time we send or receive an email, phone call, letter, web chats, enquiry through the website or social media or a visit to our office.

A record of where you heard about us (e.g. internet search engine, tourist information centre, etc).

Details of each booking made through us including the property, arrival and departure date, party details (number of adults, children and infants) number of dogs or other pets, payment date, payment method and amount of any payments made.

For card payments, the last 4 digits of the card, card expiry date, amount paid and the payment service providers’ references. We do not collect your full card details, this is held by our payment providers.

Any additional purchases such as a Cadw Pass.

Any requests made to us in relation to the booking or directly to the agency.

Feedback from you about the property, the agency and any other comments made by you when submitting a review including optional information on your age, gender and any disabilities.

Details of any requests or information you give us which may help us advise you on the suitability of a property for you.

Comments from the owner or cleaner of the property in relation to the booking.

All inbound phone calls to North Wales Holiday Cottages are recorded.

How information is collected:

We collect information from our website booking form, website enquiry forms, emails sent to us by you, during telephone calls, enquires made through social media, visits to the office or sent in letters to us. We also collect information if you voluntarily complete reviews, surveys or enter competitions. If your social media account settings permit us, we can collect any information available to us. Website usage information is collected using cookies.

How we use the information:

We collect information about you to process and manage your bookings.

Telephone calls are recorded for training and quality purposes.

Your name and/or email address or mobile phone number may be used to request a review on the agency’s service through the independent review company Feefo. Your name, and email address will also be used to a request a review of the property you stay at. The property review is an inhouse system.

With your permission we may use the data to send you marketing materials such as emails or items in the post and to try and identify properties or holiday activities that would be of interest to you. Do we share your information?

We will not share your information for marketing purposes with any external companies or groups.

Your name, mobile telephone number and email may be shared with the Feefo review platform and may be used to request reviews about the agency’s service. Your information will not be used by Feefo for any other purpose.

We only share information outside of the agency for the purposes of managing your booking, for example with the cottage owner or cleaner.

We will also provide information requested in compliance with any legal requirements we have or in connection with any legal proceedings, prospective legal proceedings and in order to establish, exercise or defend our legal rights.

Cookies

Cookies are text files placed on your computer to collect standard internet log information and visitor behaviour information. This information is used to track visitor use of the website and to compile statistical reports on website activity. They can also tailor the website to your needs, likes and dislikes by gathering and remembering information about your preferences or creating a shortlist of cottages.
